      Automations: How to use the Sharing URL Action

      Overview

      This action creates a shareable URL for a report with a set of saved parameters.

      While you can manually share a set of filters and report using the Create Sharing URL button in the report view, this action can be used to automate that process.

      Because automations manipulate settings reports, the result of the action will be saved to your Settings Report.

      Action Fields

      • Sharing URL Name: A unique name for the set of parameters and report.

      • Settings Report Output Column Name: The name of the column in the Settings Report the action will write the new URL to.

      • Duplicate Behaviour: Determines what the action does if a Sharing URL with the name exists.

        • Fail – The action will stop when there is a duplicate name.

        • Update – The action will overwrite the old Sharing URL then continue.

        • Ignore – The action will ignore the old record then continue.

      • Report: Select the report you want to link to.

      • Report Output Format: Determines which format the report is rendered in, once the user visits the URL. For example, selecting “Excel” will render the report in a spreadsheet format.

      • Report Filters: Depending on the report you have selected, there may be a different set of possible filters you can choose from. Each one will begin with “Report Filter:”. You can set parameters here to filter the shared report.

      Usage

      To add the Sharing URL action to your Automation; while you are editing your Automation, click “Add Action” then select “Create Sharing URL”.

      Create a column in Settings Report for unique names

      Because every Sharing URL should have a unique name, it is recommended that you create a column full of unique values to be used for these names.

      1. Edit your Settings Report

      2. Create your column

      3. Fill it with unique values

      4. Save it

      5. Return to the Automation

      6. Open the Sharing URL Action

      7. For Sharing URL Name select “Settings Report” and choose the column you created. This will grab the name from your selected column in the Settings Report.

      Because Automations work by changing their Settings Report, a column must be created for the new URLs to be written to.

      1. Edit your Settings Report

      2. Create your column

      3. Ensure that it is blank

      4. Save it

      5. Return to the Automation

      6. Open the Sharing URL Action

      7. For Settings Report Output Column Name select “Settings Report” and choose the column you created. This will grab the name from your selected column in the Settings Report.
